Account Information: When you register, we collect your name, email address, and password. If you subscribe to a paid plan, we collect billing information such as your payment card details (processed and stored securely by our payment processor, Paystack).

Business Information: You may provide your company name, logo, brand colors, postal address, tax identification numbers, and custom domain information to customize your workspace.

Client Data: Information you enter about your clients, including names, email addresses, phone numbers, and billing addresses. You are the data controller of your client data; we process it on your behalf.

Invoice & Financial Data: Invoice content, line items, amounts, payment records, tax calculations, notes, and terms that you create within the platform.

Usage Data: We automatically collect information about how you interact with the Service, including IP addresses, browser type, device information, pages visited, and feature usage patterns. This data is used to improve the Service.

SMTP Credentials: If you configure custom SMTP, we securely store your SMTP server credentials (host, port, username, password) solely for the purpose of sending emails on your behalf.

We use your information for the following purposes:

• Service Delivery: To operate, maintain, and provide the features and functionality of the platform
• Account Management: To create and manage your account and process subscription payments
• Communication: To send transactional emails (invoices, receipts, payment reminders) on your behalf using your configured SMTP or our default email system
• Support: To respond to your inquiries, provide customer support, and resolve issues
• Improvement: To analyze usage patterns, troubleshoot problems, and improve the Service
• Security: To detect, prevent, and address fraud, abuse, and security incidents

We do not sell your personal information to third parties. We do not use your data for advertising purposes.

ColorInvoice is built on Google Cloud's enterprise-grade infrastructure. We implement robust security measures to protect your data, including:

• Encryption: All data is encrypted in transit (TLS/SSL) and at rest
• Tenant Isolation: Each workspace's data is logically isolated from other tenants
• Access Controls: Strict role-based access control (RBAC) ensures only authorized team members can access sensitive data
• Secure Authentication: We use industry-standard authentication mechanisms including secure password hashing
• Regular Monitoring: Our systems are continuously monitored for security threats and vulnerabilities

While we strive to protect your data using commercially reasonable security measures, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security.

We share your information only in the following limited circumstances:

• Payment Processor: We share billing information with Paystack to process subscription payments securely
• Cloud Infrastructure: Your data is stored on Google Cloud Platform, which is subject to Google's security and compliance standards
• Email Delivery: If you do not configure custom SMTP, invoice emails are sent through our default email provider
• Legal Requirements: We may disclose information if required by law, subpoena, court order, or other legal process
• Business Transfers: In the event of a merger, acquisition, or sale of assets, your data may be transferred to the acquiring entity

We do not sell, rent, or trade your personal information to third parties for marketing or advertising purposes.

We use cookies and similar technologies to enhance your experience:

• Essential Cookies: Required for authentication, session management, and core functionality of the Service
• Preference Cookies: Used to remember your settings and preferences (e.g., currency, theme, locale)

Closed Accounts: After you close your account or your subscription expires, we retain your data for up to 30 days to allow for account recovery. After this period, your data may be permanently deleted.

Financial Records: We may retain certain financial records (e.g., payment history, invoices generated) for a longer period as required by tax and accounting regulations.

ColorInvoice is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have inadvertently collected personal data from a child under 18, we will take steps to delete that information promptly.

We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, or legal requirements. When we make material changes, we will:

• Update the "Last updated" date at the top of this page
• Notify you via email or an in-app notification

Your continued use of the Service after such changes constitutes your acceptance of the updated policy.
