Getting Started with ColorInvoice
Whether you're a freelancer, a small business owner, or an accounting professional managing clients, getting paid shouldn't be the hard part. ColorInvoice is a modern, cloud-based invoicing platform that lets you create, send, and track professional invoices: all from your browser, with no downloads required.
This guide walks you through everything ColorInvoice can do, from your first invoice to advanced features like recurring billing, AI-powered autofill, and white-label branding.
Getting Started
1. Create Your Account
Head to ColorInvoice and click Get Started. You can register with your email and password or sign up instantly with Google. Once registered, you'll land in your dashboard: ready to invoice.
2. Set Up Your Business Profile
Before sending your first invoice, take a minute to configure your business details. Navigate to Settings from the sidebar and fill in:
Everything you enter in Settings is automatically applied to new invoices, so you only need to do this once.
Creating Your First Invoice
Step-by-Step Process
Start Your Invoice
Click New Invoice from the sidebar or the header button
Select Customer
Pick from your saved customer list, or add a new one inline
Add Line Items
Enter description, quantity, and unit price for each item. Previous services auto-suggest from your inventory
Configure Details
Set dates, currency (150+ supported), tax rates, discounts, and custom notes
Save Invoice
Your invoice is saved as a Draft by default, ready to edit, send, or share
AI Voice Autofill โจ
Don't feel like typing? Click the "Autofill with AI" button on the invoice form. Speak your invoice details naturally, something like:
"Invoice for John at Acme Corp, 5 hours of web development at $120 per hour, and 2 logo designs at $250 each."
ColorInvoice's AI processes your voice, extracts the customer name, line items, quantities, and prices, then populates the form automatically. Just review and save.
Sending & Sharing Invoices
Once your invoice is ready, open it and click the action menu. You have four ways to deliver it:

Managing Customers
Navigate to Customers in the sidebar. Here you can:
When creating a new invoice, your customer list is just a dropdown away. Select a returning customer and their details auto-fill.
Recording Payments & Receipts
When a customer pays, navigate to the invoice and click Record Payment. Enter:
- Payment amount
- Payment date
- Payment method (Cash, Bank Transfer, Online, etc.)
View all receipts under the Receipts section in the sidebar.
Estimates, Quotes & Proforma Invoices
Need to send a quote before the final invoice? Enable Estimates in Settings and choose your preferred document type:
- Estimate
- Quote
- Proforma Invoice
Each type gets its own prefix (e.g., EST-001, QUO-001, PRO-001) that you can customize.
Creating an estimate works exactly like creating an invoice. Once your customer approves it, you can convert the estimate into a real invoice with one click: all line items, pricing, and customer details carry over.
You can also send estimates via email, just like invoices.
Recurring Invoices
For clients you bill regularly, set up a recurring schedule so ColorInvoice generates invoices automatically.
Navigate to Recurring
Go to Recurring Invoices in the sidebar
Create New Schedule
Click New Schedule and select customer and line items
Choose Frequency
Weekly, bi-weekly, monthly, quarterly, or yearly options available
Configure Auto-Send
Set dates and toggle Auto-Send for automatic email delivery
ColorInvoice runs a daily background process that checks all active schedules and creates invoices when they're due. You'll see stats for active schedules, paused schedules, and total invoices generated.
Expense Tracking
Stay on top of your spending under the Expenses section:
- Record expenses with a description, amount, , and category
- Track spending against your revenue for a clearer financial picture
- All expenses feed into the Tax Reports section for easy reconciliation
Tax Reports
Navigate to Taxes in the sidebar to view a consolidated breakdown of:
This gives you a quick snapshot for periodic tax filing. All figures are calculated from your actual invoice and expense data: no manual entry needed.

The Inventory section keeps a catalog of your products and services:
Team Collaboration
Growing your team? ColorInvoice supports multi-user access with role-based permissions.
Inviting Team Members
- Go to My Team from the sidebar
- Enter your team member's email and click Send Invite
- They'll receive an email with a registration link tied to your account
- Once they register, they'll appear as a team member with the Accountant role

Accountants share the admin's subscription: no separate payment needed. All data they create belongs to the admin's workspace.
Revoking Access
If you need to remove a team member, click Revoke next to their name. This fully removes their account and frees their email for re-registration.
White-Label Branding
Make ColorInvoice look like your own platform. In Settings, you can customize:
- Brand Color , changes the accent color across the entire dashboard, invoices, and emails
- Company Logo , replaces the default logo in the sidebar, emails, and public invoice pages
- Favicon , your icon in the browser tab
These settings propagate everywhere: your dashboard, the invoices your customers see, and the emails they receive. Your customers will never see "ColorInvoice": they'll see your brand.
SMTP Email Integration
By default, ColorInvoice handles email sending for you. But for maximum professionalism, you can connect your own SMTP server so invoices are sent from your own email address and domain.
In Settings → Integrations, enter:
- SMTP Host (e.g.,
smtp.gmail.com,smtp.zoho.com) - Port (typically
587or465) - Username & Password
- "From" Name and Email
Click Test Connection to verify. ColorInvoice will send a test email to your "From" address to confirm everything works. Once saved, all outgoing emails (invoices, estimates, receipts, reminders) are sent through your server.
Multi-Business Support
Running more than one business? ColorInvoice supports multiple business profiles under a single account.
- Each business has its own settings, logo, brand color, customers, invoices, and inventory
- Switch between businesses from the top of the dashboard
- Add a new business anytime from the business selector
- Each business gets its own invoice numbering, tax rates, and SMTP settings
Payment Reminders
Never chase a payment manually again. ColorInvoice can send automated payment reminders to customers with overdue invoices:
- Reminders include the invoice total, amount paid, balance due, and days overdue
- A "View Latest Invoice" button links to the always-up-to-date public invoice page
- Color-coded urgency: blue for upcoming, orange for due today, red for overdue
You can also send a reminder manually from any invoice's detail page.
Notifications
Stay informed with in-app notifications. ColorInvoice tracks key events like:
- Invoices sent successfully
- Payment receipts dispatched
- Team activity
Access your notifications from the bell icon in the header. New notifications appear as an unread badge.

Managing Your Subscription
- Stripe users: Click "Manage Billing" on the Subscription page to open the Stripe Customer Portal, where you can update your card, view invoices, or cancel.
- Paystack users: Cancel directly from the Subscription page with a single click.
Works Everywhere
ColorInvoice is a Progressive Web App (PWA): it works on desktop, tablet, and mobile browsers. You can even install it to your home screen for an app-like experience. An offline fallback page ensures you're never left stranded without internet.
